TC1 Private session cancellation policy

1. Cancellation by the Client:
- If the client wishes to cancel a private football coaching session, they must notify the
coach hosting the session or Nathan Popple (if not the coach hosting) by 12pm GMT/BST (whichever is applicable) on the day of the session.
- Failure to provide the above stated notice will result in the client being charged for the full session fee.
- Cancellations made before the stated time will not incur any charges.
- We ask for this notice to give enough time to arrange sessions and fill empty slots, so coaches are not standing, waiting for 45 minutes for their next session.
- We also ask, where possible, that notice be provided as soon as possible; the sooner the notice, the more beneficial for our coaches.
- If the session has been prepaid, the session may be rescheduled at a time that suits both the coach and the client or payment may be transferred to the next available session, only if the above stated notice is provided.

2. Cancellation by the Coach:
- In the unlikely event that the coach needs to cancel a private football coaching session
for reasons other than weather or emergencies, they will provide the client with a minimum of 5 hours notice.
- Cancelled sessions will be 1) attempted to be rescheduled at a time suitable for both the client and coach. 2) Any payment made will be either refunded or transferred to another date/session. An agreement will be struck between client and coach to come to any of the previously stated suitable conclusions.
- Pre-paid sessions will be refunded or rescheduled (at the discretion of the client) at a time that suits both the coach and the client. Payment can also be transferred over to the next available session.

3. Rescheduling:
- If the client wishes to reschedule a private football coaching session, they must notify
the coach by 12pm GMT/BST (whichever is applicable).
- Rescheduling requests made before the above stated time will be accommodated
based on coach's availability.
- Failure to provide the notice stated above for rescheduling will result in the client being
charged for the full session fee.

4. No-shows:
- If the client fails to show up for a scheduled private football coaching session without
prior notice, they will be charged for the full session fee.
- If clients have pre-paid for the session, a refund will not be offered if they fail to attend without any prior warning, nor will the coach be obligated to attempt to reschedule the session.

5. Weather Conditions:
- In unfavourable weather conditions, coaches are asked to check the pitches and
offer a verdict to their clients and Nathan Popple 45 minutes before their first
session.
- It is the coaches discretion as to whether the pitch is safe to play or not.
- In the event the pitch is determined unplayable, coaches and clients will work
together to attempt to reschedule sessions at a time that suits both. If this can not be agreed, clients will not be charged for the session and will continue their weekly/bi-weekly time slot as normal.

6. Exceptions:
- We ask clients to revise and adhere to the above cancellation policy to the best of
their ability. Where this is not possible, please understand that only the below stated
exceptions will be taken into consideration.
- In case of unforeseen circumstances such as injury, medical emergency, family
emergency or extreme weather conditions, both the client and the coach will work together to reschedule the session without any additional charges.
- Any other reasonings of inability to attend may be presented to the coach by the client. However, please understand that, unless stated above, a refund or rescheduling the session will be down to the coaches discretion.
Please note that this cancellation policy is subject to change and may be updated by the coach. It is recommended that clients review the cancellation policy before scheduling any private football coaching sessions.

Current attendees must review the cancellation policy and continuing to attend sessions will demonstrate your acceptance of the policy.
